We are seeking a highly organised and proactive Academic Administrator to support the smooth and effective administration of academic operations at our Kuala Lumpur campus.

Job Summary
The Academic Administrator will provide comprehensive administrative support to the academic leadership team, teachers and students. The role involves coordinating academic records, timetables, examinations, meetings, reports and day-to-day academic administration.

The successful candidate should be highly organised, detail-oriented and able to manage multiple priorities in a fast-paced international school environment.

Key Responsibilities:
Academic Administration:
  • Provide day-to-day administrative support to the Academic Leadership Team.
  • Maintain accurate and up-to-date student academic records and documentation.
  • Assist with the preparation, distribution and filing of academic documents, reports and correspondence.
  • Coordinate academic calendars, deadlines and key academic activities.
  • Assist in maintaining curriculum and subject-related records.
  • Support the preparation of student reports, assessment records and academic documentation.
  • Ensure academic records and information are maintained accurately and confidentially.
Timetable & Scheduling:
  • Assist with the preparation and maintenance of class and teacher timetables.
  • Coordinate timetable changes, cover arrangements and room allocations where required.
  • Liaise with teachers and relevant departments regarding scheduling matters.
  • Ensure timetable and academic information is communicated to relevant stakeholders in a timely manner.
Examinations & Assessments:
  • Provide administrative support for internal and external examinations.
  • Coordinate examination schedules, venues, invigilation arrangements and related documentation.
  • Assist with the collection, checking and filing of assessment and examination results.
  • Maintain accurate examination records and ensure deadlines are met.
  • Liaise with teachers, students and examination-related personnel when required.
Meetings & Communication:
  • Schedule academic meetings and prepare relevant documentation.
  • Prepare meeting agendas, minutes and follow-up actions where required.
  • Communicate academic-related information to teachers, students and parents professionally.
  • Respond to academic administration enquiries and direct matters to the appropriate department or academic leader.
Student & Parent Support:
  • Assist students and parents with academic administration enquiries.
  • Support processes relating to student subject selection, transfers, academic records and other academic matters.
  • Maintain confidentiality when handling student and family information.
  • Provide professional and courteous customer service at all times.
Data & Reporting:
  • Maintain accurate academic databases, spreadsheets and records.
  • Prepare reports and summaries as requested by the Academic Leadership Team.
  • Assist with data collection and analysis relating to academic performance and school operations.
  • Ensure information is accurately entered and updated in relevant school systems.
General Administration:
  • Maintain an organised filing and documentation system for academic records.
  • Assist with school events, orientations, enrolment activities and other academic-related programmes.
  • Work closely with Admissions, Finance, HR, Student Services and other departments when required.
  • Undertake other administrative duties assigned by the Academic Leadership Team or School Management.

Requirements:
  • Diploma or Bachelor's Degree in Education, Business Administration, Management, Administration or a related field.
  • Minimum 2–3 years of relevant administrative experience, preferably within a school, education or international school environment.
  • Strong administrative and organisational skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills in English.
  • Proficient in Microsoft Office, particularly Word, Excel and Outlook.
  • Ability to manage confidential information professionally.
  • Ability to prioritise tasks and work effectively under pressure.
  • Strong interpersonal skills with the ability to work collaboratively with teachers, academic leaders, students and parents.
  • Experience with school management systems or academic databases will be an advantage.
